Electronic Archiving
The International Journal of Economics, Business, and Entrepreneurship (IJEBE) manages publication records electronically to support administrative consistency, information security, and the long-term accessibility of scholarly articles. Electronic archiving covers submission documents, editorial processes, peer review, and published versions of articles.
1. Manuscript Submission and Storage
Manuscripts are submitted through the online journal management system. The stored documents include the original manuscript, supplementary files, author declarations, peer review reports, editorial correspondence, revised manuscripts, and the final version for publication. Each document is linked to the corresponding submission ID to ensure that the manuscript's processing history can be traced.
2. File Formats
Manuscripts and supplementary documents must be submitted in the formats specified in the Author Guidelines. All files must be accessible, clearly readable, and free from corruption. Published articles are made available in electronic formats supported by the journal.
3. Version Management
The journal maintains a version history of manuscripts throughout the editorial process. Authors must upload revisions through the same submission record and follow the editor's instructions to ensure that changes and editorial decisions remain traceable. The published version of an article constitutes the official version of record. Substantive changes after publication are handled through the appropriate correction or editorial notice mechanism, with the notice linked to the relevant article.
4. Security and Confidentiality
Access to unpublished documents is restricted to authorized individuals according to their roles, including authors, editors, reviewers, and administrators. The journal maintains the confidentiality of peer review reports, reviewer identities in accordance with the journal's peer review model, and documents containing personal or sensitive information. Such files are not made publicly available without an appropriate basis or authorization.
5. Backup and Recovery
The journal management team performs regular backups of files and databases. Backup copies are stored separately from the primary system and checked to support recovery in the event of technical disruptions, data loss, or system failure.
Access to backup copies is restricted to authorized personnel.
6. Digital Preservation
The journal endeavors to ensure the long-term digital preservation of published articles, their metadata, and related correction documents. Preservation aims to maintain the readability, integrity, and availability of content in the event of technological changes or service disruptions. Information about external preservation services is provided when the journal's participation in such services has been verified.
7. Document Access and Retention
Published articles are accessible in accordance with the journal's access policy. Internal submission and peer review documents are retained as necessary for editorial purposes, complaint handling, and compliance with the journal's data retention policy.
Internal documents are deleted in a controlled manner, taking into account confidentiality, applicable obligations, and any ongoing investigations or disputes.
8. Responsibilities of the Journal Management Team
The journal management team is responsible for maintaining the archiving system, managing access permissions, monitoring backups, and addressing technical disruptions. The electronic archiving policy is reviewed periodically to ensure that it remains aligned with operational needs and technological developments.
